IAP Associate Director for Program Management

This job fulfills an important leadership position within International Academic Programs (IAP), a unit in the International Division, that serves as the central study abroad office at UW-Madison and coordinates study abroad programming across campus. IAP administers more than 300 campus-wide study abroad and domestic study away programs and internships and annually sends over 3,000 UW-Madison students abroad. The Associate Director for Program Management, reporting to the Assistant Dean and Director of IAP, provides leadership in the management of the entire IAP portfolio of existing programs. This role ensures that all programs operate in compliance with best practices, policies, and standards while fostering their quality and impact to continuously enhance IAP's support of UW-Madison's academic mission and student success.

Specific areas of responsibility include: program management/evaluation/strategic development; program health and safety management and protocols; program leader training and resources; and program-related compliance oversight.

In executing their duties, this position works closely with internal study abroad staff, as well as with on-campus faculty and academic/administrative units, external program partners, and on-site program staff.
The position requires some international and domestic travel to conferences, program sites, etc.
This is a hybrid position which may require a combination of in-person work on-campus and remote work.

Responsibilities:

Assists with international program strategic planning. Develops and improves programs, policies, and procedures; and directs related administrative activities to ensure quality delivery of academic programs to students abroad.

• 10% Assists in the development and implementation of new international program initiatives
• 30% Identifies opportunities for study abroad program improvement and incorporates improvement recommendations into the international academic programs
• 30% Assists in the development of policies and procedures to meet international program objectives
• 10% Assists in the development of strategic planning initiatives and international program objectives
• 15% Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees
• 5% Participate in a rotation of being on call for study abroad emergencies when office is closed

Tasks:

• Provides guidance, strategic direction and leadership to the UW-Madison study abroad staff members (program team) who are responsible for the overall management of each individual study abroad/domestic study away program
• Develops and manages processes and protocols for program evaluation and assessment including: student and faculty leader program evaluations, program success metrics and program reviews, program closure, cancellation, and suspension
• Leads management and strategic direction of specific program initiatives, including, but not limited to: the Academic Year in Freiburg Consortium and the Academic Program in Aix Consortium
• Supports the Assistant Dean and Director and academic departments across campus in identifying and implementing targeted goals and improvements related to the overall program portfolio.
• Leads and coordinates communication efforts with relevant internal and external stakeholders, including program providers.
• Develops health and safety procedures and guidelines for programs.
• Collaborates with the International Safety and Security Director on health and safety issues as they relate to program management and leads the office's response efforts.
• Manages program travel warning waiver processes and tracking.
• Manages office partnership with Universities of Wisconsin international health & safety insurance and develops information to share with staff and students regarding insurance plan.
• Manages and develops trainings, resources, and protocols for program leaders and on-site staff (training manuals, evaluations, compensation terms, in-person training sessions, etc.).
• Develops and maintains internal practices that ensure compliance with the Universities of Wisconsin System policies, and federal, and other relevant guidelines, policies, and best practices as they relate to program management
• Communicates with stakeholders (including the Office of Legal Affairs, Risk Management, University Health Services, UW-Madison Police Department, Int'l Safety and Security Director) on a regular basis as it relates to program management
• Provides leadership, support, and strategic direction to a team of currently six full-time staff, including two direct reports, to ensure the success of overall program management goals.
• As a member of the Study Abroad leadership team, participates in strategic planning, the coordination of workflow between teams, and the evaluation of IAP policies, procedures, and new programs.
• Participates in a rotation of being on call for study abroad emergencies when office is closed
• Other duties as assigned
